Regulatory Purposes

In the area of regulatory compliance, E-Trail Digital Archive provides all required functionality for SEC, NASD, NYSE and Sarbanes-Oxley electronic communications retention and retrieval. E-Trail Digital Archive was designed by architects with real experience in dealing with these issues in front of these regulatory bodies. With this experience, E-Trail Digital Archive was given additional features typically not found in competitor’s products. Features such as the ability to enter a single query that automatically generates multiple result sets across a list of senders, receivers or data ranges. This is found useful when a regulatory inquiry requests the same query performed multiple times on a list of personnel, with a separate result set for each.

Litigation and Electronic Discovery Support

Like regulatory bodies, judges have shown little patience with civil litigants who cannot produce their electronic records (especially electronic communications) in a timely fashion. Gone are the days when a litigant could complain to a judge that electronic discovery was too burdensome or expensive. Judges are much more likely to sanction, fine and/or find default judgments on any litigant who cannot comply with discovery requirements. Many companies which lack adequate retention/retrieval systems are forced into unfavorable settlement terms when the cost of electronic discovery quickly exceeds certain thresholds.

E-Trail Digital Archive provides full electronic discovery and litigation support. Through a metadata repository and full-text index files on emails and their attachments, the product allows users to quickly and easily retrieve their responsive communications, automatically weeding out much of the material that competing products cannot easily filter. Reduced result sets is one way that E-Trail Digital Archive reduces a client’s legal fees (i.e. better screening means less time for lawyers to review irrelevant material). Electronic discovery costs are typically two to three percent (i.e. a reduction of 97% or 98%) of the cost of retrieving material from traditional backup media.

Mailbox Management

A major problem for many companies is controlling upgrade costs for their MS-Exchange or IMAP mailbox servers. Employees are storing more and more of their email on their firm’s MS-Exchange or IMAP mailbox servers. This email bloat is causing firms to continually add high-availability (i.e. very expensive) storage and additional mail servers and their associated licenses. Through the use of an effective email archiving solution, companies can impose strict mailbox quotas or email aging limits on their servers, comfortable in the knowledge that employees can retrieve any past email (sent or received) from the archive (which is typically implemented with a cheap and deep storage solution). E-Trail Digital Archive offers a fully integrated module called E-Trail DA Exchange Gateway, developed specifically for this purpose. With E-Trail DA Exchange Gateway, clients can define and implement email storage policies on MS-Exchange or any IMAP mailbox server. When an email is made available for deletion via one of the policies, E-Trail DA Exchange Gateway deletes all but a very tiny email proxy on the mail server.

Later, when a user examines his/her mailbox they will find all of their email organized as it appeared previously, except the header associated with the “deleted” email is a proxy to the original email. When the header is double-clicked the user sees a seamless integration with the archive from which the mail is quickly retrieved and displayed. (Note: requires E-Trail DA Outlook Plugin for seamless MS-Outlook integration). For many clients, the E-Trail Digital Archive license payback period can be as little as three months for this feature alone.

Knowledge Base

Many clients wish to use their E-Trail Digital Archive as a knowledge base from which they can mine valuable information about their sales strategy, corporate goals, and effectiveness of sales and marketing departments (for example) from the sea of electronic data that is found in the typical archive. Lighthouse Global Technologies offers two E-Trail Modules (E-Trail DA Reporter and E-Trail DA Miner) developed for exactly these goals. E-Trail DA Reporter is a fully integrated report creation module for use on the E-Trail Digital Archive. It allows clients to create detailed reports across numerous axes of data. E-Trail DA Miner is an advanced data mining module for use by clients who wish to perform advanced analytics (complete with various display and graphing capabilities) on traditional data cubes. Together these two modules allow clients to explore the data stored in the E-Trail Digital Archive through any method they can imagine.
